All mail—both analog and digital, as well as incoming and outgoing—is scanned or imported directly into the Digital Orchestration Platform. The software recognizes the data to be recorded on the document and also performs checks on the recognized data—such as address information. The employee logs in to the Digital Orchestration Platform and validates the digital document, completely independent of their workstation. Based on the recognized case or document type, the document—including the verified data—will automatically be routed to the correct target application. The document is thus registered in the correct system. The digital workflow also offers the option to consult a subject matter expert if necessary. The mail processing at the City of Zwolle runs very efficiently in this way.
The Kofax TotalAgility (KTA) platform is being used to set up the Digital Orchestration Platform. This intelligent software offers the flexibility to configure the desired process steps and supports employees through automatic document recognition. The Digital Orchestration Platform is able to perform to its full potential within the complex application landscape of the municipality of Zwolle.
The entire mail processing workflow now requires fewer steps and provides a better service to the internal organization.
