A Look Behind the Scenes

The day-to-day, document-intensive nature of housing authorities goes far beyond mere communication between the housing authority and its thousands of tenants. Different departments have their own specific needs.

This department handles all documentation related to lease and purchase agreements. Housing authorities sometimes also offer social housing units for sale. They are responsible for drafting, negotiating, and finalizing lease and purchase agreements.

This department is responsible for managing technical documents, such as maintenance reports, repair requests, and technical drawings. These days, this department also receives a lot of visual material, such as photos of damage or instructional videos from external parties. Here, too, it is important to have access to all the necessary information available in order to carry out maintenance and repairs efficiently.

Everything that comes in on paper is scanned and automatically sent digitally to the appropriate department. Outdated systems often require a lot of manual work to send documents to the right colleagues and retrieve them later.

For financial administration, it is essential to centrally manage invoices, payment receipts, rent and service charges, and other agreements. Online accounting systems are often used for this purpose. That is why it is important to integrate this financial information so that, for example, customer service representatives have access to the correct data during conversations with tenants.

These employees are responsible for all incoming and outgoing communication with tenants, suppliers, and other stakeholders. They manage documents such as letters, emails, and notifications. Today’s tenants all use smartphones. It is therefore essential that WhatsApp messages, audio files, photos, and the like are accessible in one place to ensure a 360° view of the customer.

This department is responsible for keeping all legal documents and compliance-related materials up to date, but the mandatory data cleanup is often the problem. Examples include lease agreements, legal statements, and compliance documents. Although much of the paperwork from the past has been eliminated, this remains an ongoing process for them.

The management team needs reliable reports and analyses to make informed decisions. This is often challenging because mergers have resulted in multiple systems. As a result, there is no single system that can serve as the central hub.
