The City of Almere Streamlines Complex Workflows with a Digital Orchestration Platform

Tim Hartog sees the benefits of the Digital Orchestration Platform in two ways: “On the one hand, the Digital Orchestration Platform makes it possible to bring resources from within the organization to the front end of the process for more comprehensive and centralized recording. On the other hand, if a case is too complex, the mail item can move deeper into the organization through the workflow without any loss of data or time.”
Our Solutions
Customer Demand
The city of Almere has been using the Kofax Capture platform for many years to digitize mail and invoice flows.
As a growing municipality, the organization increasingly had to deal with complex cases. The previous digital mailroom solution was perfectly capable of digitizing and registering documents, but in the case of more complex cases, it could not immediately access sources located deeper within the organization. This led to a hybrid system in which such documents were often processed decentrally.
The Solution
In 2017, a joint team from the municipality and OneXillium began developing the workflow solution that will form the basis of the City of Almere’s new input management system. The result: an approved Proof of Concept (POC) and widespread enthusiasm. “We can truly call this a successful co-creation, which means we can now actually begin the migration,” said Tim Hartog, external project manager from InnoviQ on behalf of the municipality.
The Digital Orchestration Platform was developed using Kofax technology: Kofax Total Agility (KTA). This allows the process steps that Almere has already defined in its Kofax Capture environment to be flexibly configured within the Digital Orchestration Platform.
About the City of Almere
The City of Almere is fully committed to digital transformation and process optimization. By integrating the Digital Receiving Portal with existing Kofax technology, complex mail flows are now processed centrally and efficiently. Sources within the organization are directly linked to the appropriate process, without any loss of data or time. This results in faster processing, improved record-keeping, and greater control over information.
