When asked about the challenge Barentz International faced, Se-Jong explains: “There are many steps between the time a calculation is made and the time the customer is billed. Moreover, information—that is, knowledge—is stored in far more places today than it was in the past. That’s completely different from when Herman Barentz founded the company in 1953. That’s why we felt it was important to be able to find all our information and documentation related to a sales or purchase order in one central location. My guiding principle here is always that users (my colleagues) shouldn’t have to click too many buttons to achieve a specific goal. Getting things done quickly—in part by making documents easy to find—actually makes work more enjoyable.”

Barentz International has been using the Xtendis solution for many years. “OneXillium initially helped us centralize and organize all our documents related to sales processes, but now many more departments are benefiting from Xtendis. For example, we’ve also optimized the processes for our Quality & Regulation department, which, together with Supply Chain, is responsible for verifying the accuracy and correctness of certain documents (certificates of analysis). This entire quality process is automated, and quality documents are automatically placed in the appropriate folders without any human intervention.”

“We deal with customer-sensitive and product-sensitive information,” Se-Jong explains. That is why Xtendis is also used as a cloud-based DMS system. “Because it’s a cloud solution, we automatically receive all necessary updates, which strengthens our information security.”
