Retention periods. It’s a jungle of numbers to wade through. Different documents have varying statutory retention periods. And when it comes to personal data, the GDPR does not specify a concrete maximum retention period. Our checklist provides you with guidance.

Document Retention Periods

Various

Your company has various processes and activities in which documents are stored and personal data is processed. We created this table for the most common files in the archive. Please note that you decide for yourself whether to retain documents and files for a longer period. The only requirement is that you provide a justification for this in your data processing agreement.

Be sure to consider whether this is truly necessary. After all, keeping your digital workspace and archive organized offers many benefits. Save a lot of time, effort, and money. Choose a smart DMS. With this system, you can specify the destruction date for each document as soon as it’s created. Over time, this smart system can even suggest a recommended retention period based on laws and regulations or your internal processes.

With a smart DMS, you can easily comply with record retention requirements. For example, you can link a shred date to each document. As soon as that date arrives, you’ll receive a notification, and—with your approval—the document will be digitally shredded.
