Many companies today still use preprinted stationery for invoices, work orders, or business communications—each with its own specific paper types and forms. A long time ago, someone within the organization made that decision, and since then, it’s likely that no one has given it a second thought.

Still, it’s a good idea to take a critical look at this. Pre-printed stationery is no longer a cheap, easy solution—it’s actually a hidden cost. The solution? Printing your own stationery. In this blog post, we’ll share the three main benefits of printing your own stationery.

Save money

Benefit 1

Preprinted paper is expensive. Although the direct costs of preprinted paper vary considerably, the average price is currently 4.6 euro cents per preprinted document. In addition, the cost of printing on the preprinted paper must, of course, also be factored into this calculation. In practice, therefore, you pay twice to print a single document.

How often does it happen that a letter like that comes out of the printer with the company logo on the back? These are costs you don't usually think about, but on an annual basis, failed prints add up to a significant expense.

In addition to waste, there are other (hidden) costs that you can save on by printing your own stationery, such as:

  • Purchase of Stationery
  • Storage of the paper
  • Inventory Management

Save time

Benefit 2

Employees’ valuable time is wasted managing issues related to printing on preprinted stock. How much time does the IT department in your organization spend installing printer drivers and configuring paper trays? And how much time do employees lose because they constantly have to make sure the paper is in the right tray and oriented the right way?

's Missteps Inventory management is another time-consuming task. Why? Suppose the office manager—who always takes care of everything down to the last detail—goes on vacation for two weeks, and you unexpectedly need to send out a business mailing. You walk over to the supply closet and see that there’s only one box of stationery left. What do you do? You place an order because you really need the preprinted paper right now.

The average delivery time is 3–4 business days. Of course, this takes far too long, so you place a rush order because the mailing really needs to go out tomorrow. Adding the word “rush” to the word “order” causes the cost per preprinted document to skyrocket.

Printing your own stationery puts an end to these worries. You'll never run out again.

Flexibility

Example 3

To keep costs down, you might order large quantities of preprinted paper. In the short term, this seems like a smart investment. However, preprinted paper quickly becomes obsolete—for example, when your company moves or changes its logo.

In addition, the causes of this may also lie beyond the organization’s control. A good example of this is the introduction of IBAN. How much stationery did your organization have to throw away?

This problem is immediately resolved if you print the stationery yourself. When changes are needed, you simply update the template, and the change is implemented immediately without any waste. For marketing purposes, you can choose to temporarily add an extra message to the template for a campaign, so that it is included in all your business communications.

If you print your letterhead or your logo and company information on the document, you'll only be charged for one print and one blank document. Naturally, the cost of the blank document is much lower than that of the pre-printed document.
